IMPORTANCE OF TRAINING TOOLS FOR EMPLOYEE EDUCATION

Updated: June 13, 2024

In a recent meeting of the “Deutsche Fortbildungs-Bundesliga” (DFB), we discussed extensively the best methods for the further education of new employees. Julian N., our passionate trainer, took the floor to talk about the benefits of training tools within an LMS. Initially skeptical, but soon enthusiastic, the colleagues listened as Julian explained the advantages of these tools.

1. WHAT ARE TRAINING TOOLS?

Definition and explanation of training tools

“Imagine training tools as the various exercises in soccer training,” Julian began. “These tools are essential instruments that support and improve the learning process. They can be physical devices such as textbooks and flashcards, or digital applications such as quiz apps and interactive videos.” He compared them to the difference between an old soccer ball and the modern high-tech balls at the European Championship. “Both are useful, but the modern tools offer more possibilities and precision.”

Difference between traditional and digital training tools

“Traditional training tools are like classic training sessions – proven and effective. Digital training tools, on the other hand, use technology to make learning more flexible, interactive and scalable. They are like modern training methods with video analysis and digital tactics boards,” Julian continued, while his assistant Sandro W. nodded in agreement.

2. IMPORTANCE OF TRAINING TOOLS IN AN LMS

Integration of training tools in digital LMS

“An LMS is like a playing field,” Julian continued. “It is a platform that facilitates the provision, management and tracking of educational programs. By integrating training tools into an LMS, we create a comprehensive and effective learning environment. This is like a well-organized training session where each player knows exactly what to do and where they still have gaps.” The integration makes it possible to centrally manage all learning materials and activities and to optimize the learning process. “Of course, it depends on the quality of the LMS. With the selection of the right platform, companies decide on the quality of the playing field. Simply put: Does the company need a simple sports field to meet its requirements, or are the requirements so high that only a high-quality, perfectly mowed and irrigated lawn is suitable?”

3. CORE FUNCTIONS AND TYPES OF TRAINING TOOLS

Employee development online: E-learning courses and modules

“E-learning courses and modules are like training plans,” Julian explained. “They enable the creation and management of DIGITAL EMPLOYEE TRAINING, which is available at any time. These courses can include interactive elements, videos and quizzes to make learning engaging and effective.”

Employee training online: Webinars and virtual classrooms

“Webinars and virtual classrooms offer the possibility for real-time training and interactions,” Julian continued. “This is like a live coaching event where players can ask questions and interact directly with the trainer and other team members.”

Interactive content

“Interactive content such as videos, simulations, quizzes and gamification elements make learning dynamic and engaging,” said Julian. “This is like an interactive training game that motivates players and helps them to better understand and apply what they have learned.”

Mobile learning apps

“Mobile learning apps offer access to training content from mobile devices,” Julian explained. “Comparable to an app with which players always have their training plans and analyses with them, no matter where they are and no matter what time of day.”

Social Learning Tools

“Social learning tools such as forums, chats, group work and social networks promote exchange and collaboration,” said Julian. “Quasi a constructive team meeting, where everyone can contribute their ideas and the team can learn from each other.”

Analytics and evaluation tools

“Analytics and evaluation tools are crucial for tracking learning progress and measuring the success of E-LEARNING FOR COMPANIES,” Julian explained. “Just like a performance analysis, it shows us where we stand and what we can improve.”

4. ADVANTAGES OF USING TRAINING TOOLS IN COMPANIES

Flexibility and accessibility

“Training tools enable location- and time-independent learning,” said Julian. “This is like the flexible training of the national team, which can adapt to different game schedules and training camps. No matter whether Blankenhain, Herzogenaurach or Campo-Bahia – as long as the right training tools, quasi our goals, balls and cones, are there, learning is possible everywhere.”

Personalization

“Adapting learning content to individual needs is a major advantage of digital training tools,” Julian continued. “This is like a tailor-made training plan for each player that addresses their specific strengths and weaknesses. In the end, everyone stands there with the same qualification. One learner has spent more time in learning module X and another person has been automatically promoted longer in learning module Y. Imagine that?! Due to the way I learn and the time I need for which questions or modules, my next learning step is already being shaped in the background. Crazy, isn’t it?”

Cost savings

“Companies can save considerably by reducing travel and training costs,” Julian explained. “Equivalent to a cost-efficient preparation for a major tournament, in which all resources are optimally prepared regardless of their location and time of day.”

Increasing employee retention and motivation

“Interactive and engaging learning methods increase the motivation and satisfaction of employees,” said Julian. “This is like a motivating training that inspires the players and makes them give their best.”

5. SELECTION OF THE RIGHT TRAINING TOOLS FOR COMPANIES

“When selecting the right training tools, we should consider various criteria,” Julian explained. “User-friendliness, adaptability, integration, costs and support are crucial. Like the naming of a squad for a major tournament, every element must be right and contribute to the success of the team.”

Compliance training and leadership development are, for example, two important areas of application for training tools,” Julian stated. “While compliance training ensures that all employees know and comply with the necessary regulations and guidelines, training tools in leadership development support the promotion of future leaders through targeted training programs.”

6. IMPLEMENTATION

“The implementation of training tools involves several steps,” Julian explained. “Needs analysis, selection process, implementation, training of users and continuous optimization. A structured approach ensures that the tools are used effectively and bring the desired benefits – like a well-planned training camp.”

With these words, Julian ended his presentation. The initial skepticism of the colleagues had vanished, and they were enthusiastic about the possibilities that training tools offer. Julian had managed to convince the team – and the company was ready to reach the next level of employee development.

Designated HR staff organise most of the administrative tasks (e.g. invitations to participants, reservations for rooms and the necessary infrastructure or other resources). Parts of the process are partially automated.
A software system automates numerous actions. However, there are still numerous manual organisational tasks that require specific employees to take action for the final organisation.
We already have a (learning management) system that supports us with the organisational tasks required for training. There are still a few organisational tasks that have to be carried out manually by a very small number of employees and with only a manageable amount of effort.
