Let’s be honest for a moment: how often do we waste our time on irrelevant training and courses? Content may be interesting, but if it cannot be applied in everyday work, it often misses the point. If I am honest, I would say I have spent more time in irrelevant courses than in coffee breaks. The good news is that this does not have to be the case. It is not an unavoidable fact, but a genuine opportunity to improve many learning and development processes in companies. The magic word: personalisation in the LMS. Personally, I had not noticed much of this in my professional past for a long time. Every year, I completed the same mandatory training courses, filled with content that had nothing to do with my role. Yet that is exactly where the key to effective learning lay, or rather, still lies.

My company’s Learning Management System was technically solid. It was well structured, reliable and had a decent overview of courses. But personalised? Not in the slightest. The same training applied to entirely different roles. Whether someone worked in production, sales or corporate communications did not matter. My existing knowledge was not considered, and neither were my personal learning goals.

WHY IT MAKES SENSE TO PERSONALISE AN LMS

Standardised courses for entirely different roles send the wrong signal: no one is paying attention to who you are or what you truly need. No consideration of prior knowledge, no adaptation to individual learning goals, no automatic differentiation by function or location. Personalising a Learning Management System therefore means one thing above all: creating relevance. Using an LMS without personalisation means wasting potential on both sides. Employees spend time on content they either already know or will never use. The company invests in learning activities that deliver little value.

THE START: WE PERSONALISE THE LMS

What I had underestimated was this: personalisation in the LMS is not a switch you simply flick once. It needs a clear role and permission structure, well-defined target groups and transparency around why specific modules are shown. Integration with the organisational structure is also essential. Personalisation in a Learning Management System requires strategy. We quickly realised that this was a more extensive process, one that grows with the organisation, changes with roles and needs to be actively maintained.

OVERLOOKING PERSONALISATION IN THE LMS WAS A MISTAKE

During the process of personalising the LMS, we came across a number of pitfalls:

  • Personalisation depends on well-maintained data: inaccurate HR data leads to incorrect assignments
  • Too much individualisation can make things unclear
  • Without clear logic, system chaos emerges instead of structure

In short: personalisation is not a Netflix algorithm, and it should not be. What works well for recommending series needs clear rules, defined target groups and measurable objectives in workplace learning. Without them, relevance can quickly become confusion.
